Privacy Policy

How Rapido Hotel collects, uses and protects your data.

This policy applies to the Rapido Hotel staff application for Android and iOS (package com.rapidhotel.walkie) and to the Rapido Hotel web platform. Rapido Hotel is a workplace tool: accounts are created and managed by the hotel that employs you, and it is used by hotel staff to coordinate work — not by hotel guests.

1. Who we are

Rapido Hotel is operated by Rapido Web. For any question about this policy or about your data, contact us using the details in section 10. Your employing hotel is the controller of your work data; we process it on their behalf.

2. What we collect

  • Account information — your name, email address, password (stored only as a salted hash), your role, and the hotel(s) you are assigned to. Your hotel administrator creates this account; you cannot self-register.
  • Voice audio — when you hold the push-to-talk button or take a call, your microphone audio is streamed live to the colleagues on that channel. Live push-to-talk and call audio is not recorded or stored by us. When you deliberately record a voice message, that clip is stored so the recipient can play it.
  • Photos — images you attach to a maintenance report (réclamation).
  • Work activity — orders, bookings, reports, emergency alerts you declare or acknowledge, and your shift schedule.
  • Device information — a push notification token so we can alert you to incoming calls and emergencies, plus basic device and app-version information needed to deliver notifications.
  • Camera — used only to scan a login QR code. Camera images are never stored or transmitted.

3. What we do not collect

We do not collect your location. We do not access your contacts, SMS, call logs, files, or the list of other apps on your device. We do not use advertising identifiers, we show no ads, and we do not sell or rent your data to anyone. We do not run third-party analytics or tracking SDKs in the staff app.

4. Background microphone use

So that you stay reachable during a shift, the app can transmit your voice while it is in the background or your screen is off — for example when you answer a call from the lock screen, or while you are connected to a radio channel. This only ever happens while you are actively talking or in a call. The app never activates your microphone on its own, and a permanent notification is shown whenever a voice channel is active. You can leave a channel, or switch background monitoring off entirely, from inside the app at any time.

5. Why we use your data

To let you sign in; to connect voice calls and radio channels between staff; to deliver emergency alerts, orders and notifications; to connect you to your channel at the start of your rostered shift; and to give your hotel the operational reports it needs to run its service. We rely on your employment relationship and your hotel's legitimate interest in coordinating its staff.

6. Who we share it with

Your name, role and work activity are visible to colleagues and managers at your hotel — that is the purpose of the product. Beyond that we share data only with the service providers needed to run it: our hosting provider, LiveKit for real-time voice transport, and Google Firebase Cloud Messaging / Apple Push Notification service for delivering notifications. They act on our instructions and may not use your data for their own purposes.

7. How long we keep it

Account data is kept while your account is active. Voice messages and report photos are kept while operationally relevant, and are removed when your account is deleted. Live call and push-to-talk audio is never stored. We may retain a minimal record longer where the law requires it, or to prevent fraud and abuse.

8. Security

All traffic between the app and our servers uses HTTPS; the app refuses unencrypted connections. Passwords are stored only as salted hashes. Your login token is held in the app's private storage and is excluded from device backups and device-to-device transfers, so it cannot be copied onto another handset.

9. Your rights

You can request access to, correction of, or deletion of your personal data. Because your account belongs to your hotel, the fastest route for corrections is usually your hotel administrator. To delete your account and associated data, use the page linked below — it also works after you have uninstalled the app. You can withdraw the microphone, camera or notification permissions at any time in your device settings; the corresponding features will stop working.

10. Contact

Questions about this policy, or about how your data is handled, can be sent through our contact page. We aim to respond within 30 days.

11. Changes

If we change this policy we will update the date at the top of this page, and will tell you in the app when the change is significant.

Delete your account

You can request deletion of your Rapido Hotel account and the data linked to it at any time, including after uninstalling the app.
